Reserving Equipment and Choosing a Rental Period
The rental week
Stage Gear rentals are built around tech week. The standard rental runs Monday to Monday:
- Outbound shipping is arranged to target delivery by 5:00 p.m. your local time on the Monday your rental starts. Carrier delays beyond our control can happen.
- Equipment must be scanned into UPS by 12:00 p.m. your local time on the Monday your rental ends.
How many weeks?
Count from the start of tech week through your closing performance, then add the return Monday. A show with one tech week and one performance week usually needs a 2-week rental. If your show closes on a Sunday, the return is the next day.
Reserve early
Spring musical season is busy. Rental equipment is reserved only after you check out, elect a protection plan and complete payment or paperwork. Until then, another customer could rent the same equipment.
Ways to reserve
- Book online at broadwaymedia.com/stage-gear.
- Or request a rental quote (choose Rent) and include your show dates, cast size and venue.

Your rental agreement controls. This article summarizes the published rental terms in plain language. If anything here differs from the Hardware Rental Agreement or the other documents you accepted when booking, those documents control. Rentals are provided by Broadway Media Distribution, Inc. dba Broadway Media, Stage Gear's rental partner.
Questions about your rental
Contact Broadway Media at hello@broadwaymedia.com or 1-800-277-0343, and include your rental order number. Requests for exceptions, extensions or fee waivers are decided by the rental team; the help center and AI assistant can explain the published terms but can't change them.
