Rental Protection: Damage Waiver, COI and Rental Flex
Every rental requires a protection plan before your order is confirmed and equipment is reserved. You choose one of two plans, and can add Rental Flex Protection on top.
Option 1: Damage Waiver
- A non-refundable fee of 10% of your total hardware rental cost.
- Stage Gear waives its right to bill you for covered accidental damage, up to $20,000 per rental. There's no claims process.
- Not covered: theft or loss, intentional damage, gross negligence (including any liquid or water damage), missing items, damage from improper repacking or unauthorized carriers, and damage above $20,000.
- It's a contractual waiver, not insurance.
Option 2: Certificate of Insurance (COI)
- Use your organization's insurance instead. No additional fee.
- Your COI must meet the published minimum coverages and wording. See the COI Requirements.
- Submit it to hello@broadwaymedia.com before your ship date. Review typically takes about two business days. Equipment doesn't ship until the COI is approved.
- Many school districts choose this option; ask your district's risk management or business office.
- If equipment is damaged, you are invoiced directly and then claim from your insurer.
Optional: Rental Flex Protection
An add-on (8% of your total rental cost at checkout) for flexibility: cancellation and credit rights, a free reschedule, a one-business-day late-return grace period, missing-accessory forgiveness (one item worth $50 or less, not mics, transmitters, receivers, projectors or cases) and expanded wear-and-tear coverage. It doesn't replace the Damage Waiver or COI.
Good to know
- Once your protection plan is selected and confirmed, the election is final.
- Damage Waiver and Rental Flex fees must be prepaid by card or check, even if the rental is paid by purchase order.
